Privacy Policy

1. Who we are

This policy describes how ERPSWISS (“we”, “us”) collects and processes personal data. ERPSWISS implements and supports Odoo-based ERP systems.

2. Data we collect

We collect only what we need to serve you:

  • Contact details — name, company, phone number, email address.
  • WhatsApp phone number and message content — when you contact us on WhatsApp, or when you agree to receive notifications from us there.
  • Commercial records — quotations, orders, invoices, payment status, delivery details.
  • Website data — pages visited, forms submitted, and technical data such as IP address and browser type.

3. Messaging via WhatsApp

We use the WhatsApp Business Platform provided by Meta Platforms, Inc. to exchange messages with customers. When you message us on WhatsApp:

  • Your phone number, profile name, and the content of your messages are transmitted through Meta's infrastructure and are also subject to Meta's own privacy terms.
  • Conversations are stored in our Odoo ERP system so that our team can respond and keep a record of your request.
  • We send notifications (order confirmations, invoices, payment reminders) only to customers who have provided their number for that purpose. You can opt out at any time by replying with a request to stop.

4. Automated and AI-assisted responses

Some WhatsApp and website messages may receive an initial automated reply generated by an AI assistant. In that case the content of your message is processed by a third-party AI model provider to produce the reply. We do not use your messages to train third-party AI models. You can ask to speak with a human at any point, and we will transfer the conversation to a member of our team.

5. Why we process your data

  • To respond to enquiries and provide the services you requested.
  • To perform a contract with you — quotations, delivery, invoicing, support.
  • To comply with accounting and tax obligations.
  • With your consent, to send information about our services. You may withdraw consent at any time.

6. Who we share data with

We do not sell personal data. We share it only with providers who help us operate:

  • Meta Platforms — delivery of WhatsApp messages.
  • Hosting and ERP infrastructure providers — operation of our Odoo system.
  • AI model providers — generation of automated replies, as described in section 4.
  • Accountants, auditors and authorities — where required by law.

7. International transfers

Some of these providers operate outside Armenia. Where data is transferred abroad, we rely on the provider's contractual data-protection commitments to keep the level of protection appropriate.

8. How long we keep data

Enquiries and message history are kept for as long as needed to serve you and for a reasonable period afterwards. Accounting records are kept for the retention period required by applicable law. After that, data is deleted or anonymised.

9. Your rights

You may ask us to:

  • confirm what personal data we hold about you and receive a copy;
  • correct data that is inaccurate or incomplete;
  • delete your data, where we have no legal obligation to keep it;
  • stop sending you messages or withdraw your consent;
  • object to or restrict a particular use of your data.

10. How to request deletion of your data

To have your personal data deleted, including your WhatsApp number and message history, send a request from your registered email address to [email protected] with the subject line “Data deletion request”. Please state the phone number or email address you used with us so we can locate your records.

We confirm receipt and complete verified requests within 30 days. Records we are legally required to retain, such as issued invoices, are kept until that obligation expires and are then deleted.

11. Security

Access to customer data is limited to employees who need it for their work, protected by individual accounts and encrypted connections.

12. Changes to this policy

We may update this policy. The current version is always published on this page with its update date.
